My Account

Under the "My Account" button you will be able to update your own information, update your password, upload your company logo, renew your subscription and invite new users to access the software in your office.

Updating your information
Click on "Manage My Info". From there you can then select "Edit Info". When finished updating your information click "Save Changes".

Change Password
Click on "Manage My Info". Click on "Change Password". Simply enter your new password and hit "Save New Password".

Upload Company Logo
Click on "Manage My Info". On the right-hand side under "My Company Logo" click the "Choose File" button. Search for the file of your logo. Then click "Upload Logo".

Renew Your Service
Click on "Manage Account". Under Account Summary, click the blue button labeled "Renew Service". From there you will be brought to a screen to fill in your payment information. When finished click "Submit Purchase".

Adding Seats(Users)
If you want other office employees to be able to use this tool throughout the tax season then you need to formally invite them. Once they get the email form you inviting them in they will setup their own login name and password. This is valuable as you will have the history of who gave specific quotes in your office.

To invite a new user simply click on "Send New User Invitation". Enter their First and Last name and their email address. Click "Send Invitation".

Once this is sent the invitee will need to check their email and follow the instructions accordingly.

After logging in, click on "Customize Quote Tool"

Customize Forms & Fees

Step #1 - Under "Customize Quote Tool" you will choose how you charge for a tax return. You have the choice of "hourly" or "per form". You will be able to switch this setting by clicking on the link that says either "Switch to Hourly" or "Switch to Flat Fee". If you charge by the hour, then you will need to input your hourly rate. Click "Update Hourly Rate" after entering your charge per hour. This will save your rate and be utilized in properly calculating the price of a return.

Step #2 - Once you choose how you charge for returns, you will then need to fill in either the number of minutes or the fee per form for all the forms listed under "Customize Form Fees". When complete don't forget to hit "Save Form Changes" at the bottom of the screen. If there are some forms that you do not charge for, you can leave the field blank.

Step #3 - Base Charge. You may leave this at zero if you want, but if you want to charge a base charge you can do that here. All form charges computed during a quote will be added to this base charge for the final price.

Step #4 - Quote Range. An entry here will allow the software to calculate a certain range or prices instead of a specific price. For instance, if you enter 10 here, and the exact price comes out to be $200, the software will give a range of $180 - $220 (plus and minus 10%). If left blank, the software will give an exact fee. We recommend to use the range of at least 10% as this would give you a nice cushion as well as provide the client with a good idea of cost.

Step #5 - Discount Preferences. You have the choice of letting the software automatically calculating discounts for the quote or not. If you do not want to calculate any discounts, then make sure both of these boxes are left unchecked.

Note: Note: If you make changes to the above settings after creating quotes, these past quotes will be automatically updated with your current settings and pricing as applicable.

Allow discounts as dollar amounts.

  • If this box is checked you must fill in the flat dollar discount that you want automatically applied for every quote. This amount will be subtracted from the quote total.

Allow discounts as a percentage.

  • If this box is checked you must fill in the percent discount that you want automatically applied for every quote. The percent discount will be multiplied by the total quote fee and will be subtracted from the quote automatically.

You can choose either of these selections OR you can choose them both. However, you will also need to make sure that the order of each discount is applied the way you want it to as this can make a difference on the end quote you tell the client. You can change the order in which the discounts are applied by clicking on "Change to the dollar/percentage discount being applied first."

Customize Questions.

This section allows you to change the wording of any of the questions as well as change the order in which they appear in the quote tool. You can also easily hide any questions you do not feel are relevant or needed for the way you prepare returns.

You will notice the two arrows next to each question. The red one is an arrow pointing down and if you click on this arrow, that question will be moved one spot lower. The green one if clicked on will move that question up one spot. Any changes are automatically saved.

You also can remove or hide most of the question you do not wish to use by clicking on the red "X". Now before you remove any questions let me run down briefly WHY each question is included and then you can decide to remove them or not.

Filing status - Used in determining taxable income and most credit eligibility. This one cannot be removed.

How many dependent children do you claim? - Used in determining taxable income as well as most of the credits. This one cannot be removed.

Number of kids under age 17. - Used in determining if the client may be eligible for the child tax credit and/or the additional child tax credit. This one cannot be removed.

Total W2 Income - This one cannot be removed

Retirement Income from Pensions, IRA's and 401-K Distribution - Used in determining taxable income which can affect tax credits.

Unemployment Income - Used in determining taxable income which can affect tax credits.

Social Security Income - Used in determining taxable income which can affect tax credits. The software will automatically calculate the taxable portion of social security if any and add to AGI.

Interest/Dividend Income over $1,500? - This question will only help figure out if a client is eligible for a 1040EZ or not. If you charge the same for an EZ as an A or regular 1040 then you can remove this question. Or if the majority of your clientele do not have this much interest/dividend income then you can be safe to remove this question. Otherwise you may want to keep it in.

Any self-employment income or 1099MISC's? - If answered "Yes" this will input the Schedule C, Schedule SE, and 1 Form 4562 charge into the quote.

Do you own a farm? - If answered "Yes" this will input the Schedule F, Schedule SE and 1 form 4562 charge into the quote.

Farm and/or SE Profit - Any amount input here will adjust the taxable income for the return and could affect what credits the client might be eligible for.

How many rental properties do you own? - The number of rental properties input will be multiplied by your charge for a Schedule E and figured into the quote. Also 1 form 4562 charge will also kick in. Only 1 4562 will charge no matter how many Rental Properties you input because a 4562 is not required during every year of a return that has rental units.

Did you sell any stocks/funds or other property last year? - A "Yes" answer here will include the charge for the Schedule D. We do not add in a charge for the 8949 but if you do charge additional for the 8949 along with a Schedule D, you may want to total both fee's together and input the total for the Schedule D charge.

Will you be deducting any student loan interest paid? - This question will only help figure out if a client is eligible for a 1040EZ or not. If you charge the same for an EZ as an A or regular 1040 then you can remove this question. Otherwise you may want to keep it in.

Do you have a health savings account (HSA)? - - This question will only help figure out if a client is eligible for a 1040EZ or 1040A. If you charge the same for an EZ as an A or regular 1040 then you can remove this question. Otherwise you may want to keep it in.

Did you itemize last year? (i.e. Mortgage Interest, Property taxes, Donations) - A "Yes" answer here will include the charge for the Schedule A.

Will you be deducting any job expenses such as mileage, tools or travel expenses? - A "Yes" answer here will include the charge for the Form 2106.

Did you contribute to a retirement plan (401K/IRA)? - A "Yes" answer here will check to see if the client is eligible for the retirement saves tax credit and include that charge if so.

Did you or any dependents take any college classes last year? - A "Yes" answer here will include the charge for the Form 8863.

Did you pay for Daycare? - A "Yes" answer here will include the charge for the Form 2441.

Were you or any dependents uninsured at any time last year? - A "Yes" answer here will include the charge for the Form 8965 (Healthcare Insurance Penalty).

Were you or any of your dependents enrolled in the marketplace for health insurance last year at any time? - A "Yes" answer here will include the charge for the Form 8962 (Healthcare Premium Tax Credit).

How many state returns will you be filing? - An entry here will multiply the charge per state return by the number you input and include it into the total fee quoted. If you prepare returns in a state that does not have a state income tax then you may remove this question, otherwise you should keep it in.

How many city returns will you need to file? - An entry here will multiply the charge per city return by the number you input and include it into the total fee quoted.

MICHIGAN RESIDENT SPECIFIC QUESTIONS:

How much are your property taxes for the year? - An entry here will calculate if the client may be eligible for the Michigan Property Tax Credit and will charge for the form MI-CR accordingly.

How much did you pay in rent per month? - An entry here will calculate if the client may be eligible for the Michigan Rent Credit and will charge for the form MI-CR accordingly.

The Home Heating Credit is automatically calculated based on household size and income for those of you that are based in Michigan. For all others this will not calculate.

You may also change the wording for any question to better suit how you wish to ask the questions. Simply click on the question itself and you will be able to edit the exact wording. When finished editing click "Save Changes".

EMAIL OPTIONS

This is your email script that will be prefilled in with the client's quote data when the quote is given. Here, you can edit your email to say whatever you want.

REFERRAL OPTIONS

Here, you can customize the types of ways a client heard about you. This is optional and is not needed but we highly recommend it to keep track of how new clients are hearing about you. Is your advertising/marketing working or not. Which ads are working the best. Etc.

USING THE QUOTE TOOL

When you first login you will be taken to the page to create a new customer. If you want to view prior quotes you can click on "View Clients" at the top. For now, let's run through how to utilize the quote tool.

The first step is to create the new customer/caller. On this screen, you will be required to input the clients first and last name, and state. Everything else is optional.
However, we do recommend that you gather as much of the client's data from this screen as possible.
The email address is important if you would like to send them an email of the quote when finished.
The physical address could be important if you plan to mail them the quote or send them any marketing materials now and in the future.
The date of birth is only there to eliminate the 1040EZ if the client is over age 65.
The referral selection is used to keep track of how potential clients heard about you.

When you have all the information you want completed hit "Save and Continue".

This will bring you to the tool to create the quote to give to the potential client.

This tool was created to allow the tax preparer to give a more accurate fee estimate when a potential client calls or stops in to your office. So, when a call does come in requesting a price, you can log in to your EZ Quote tool and proceed to ask the caller the questions on the online questionnaire that you have customized during the setup process.

Following is a complete list of the questions in the quote tool with a description of the effects of each question if answered affirmatively or with an amount entered.

Filing status - Used in determining taxable income and most credit eligibility. This one cannot be removed.

How many dependent children do you claim? - Used in determining taxable income as well as most of the credits. This one cannot be removed.

(If you are not based in Michigan, these questions will not show up in your list of questions.)

How much are your property taxes for the year? - An entry here will calculate if the client may be eligible for the Michigan Property Tax Credit and will charge for the form MI-CR accordingly.

How much did you pay in rent per month? - An entry here will calculate if the client may be eligible for the Michigan Rent Credit and will charge for the form MI-CR accordingly.

You will notice that as you enter and change your answers to the questions, the quote will automatically update live showing the forms it is calculating based on the responses as well as the prices.

You should also notice that the default discounts that you created during the setup process are being applied.

Notice the quote total will give you a price range (if setup) at the bottom. This is after all discounts have been applied. This is what you can tell the client over the phone what their price may be this year. You also can override the discounts being applied here if you would like.

During the quote, you have the option to remove any of the form charges popping up in the quote results. Simply click on the form name under the quote results you want to remove. The form will then have a strikethrough line in it and the fee will be automatically removed from the quote total. To bring it back in, just click the form again. It works as a toggle for ease of use.

You also have a few blank adjustment lines for the quote. These are available for you to input additional fees if you like. Perhaps the client mentions a few things during the questionnaire that is not covered in our software, you could then add in a fee for these additions and have them computed for the total quote.

Editing A Client

By clicking on the "Pencil" in the upper right corner of the client box, you will be able to edit any of the information that was entered when you first setup the client. When finished editing simply click the blue "Save Changes" button towards the bottom.

You have a completed Quote! Now what?
The next step is completely up to you, but you do have some options here.

Option #1 - Simply tell the client what the price or price range will be and invite them to make an appointment or stop on in (if you take walk-ins). Then either close the software or click on "Quote Tool" to get ready for the next caller. The data is automatically saved!

Option #2 (recommended) - You can email/mail the quote to the client by doing the following:

  • Click on the "Email Quote" button.
  • Read through the email that pops up on the left-hand side and verify it says everything you want. (you can setup a default email template under "Customize Quote Tool")
  • If you wish to change anything in this email to this client you can do so by clicking the yellow "edit email" button.
  • When you are satisfied, simply click "Send Email".
  • You can also generate a pdf letter of the quote so you can mail it to the client in case they do not have an email address.

View Client

Under the "View Clients" button you will be able to see a list of every quote given throughout the tax season. You can sort the list by any of the column headers such as name, date, or estimate total by simply clicking on the column header title.

If you want to see what forms were quoted for a client, click on the "Est. Total" for that particular client. This will take you into the quote tool and you will be able to see where that quote derived from in detail.

By clicking on the client's name, you can edit this client's information such as address or phone number, and you can also delete them completely from the system if you want by clicking on the "Delete Client" at the bottom. If you just want to delete that quote but keep the client in the system you can click on the trash can at the far left of the quote.

Exporting Client Data

Click the export icon at the top left of the screen and the software will automatically export the entire list of quotes into an excel spreadsheet.

*Only the most recent version of a quote will be saved. If you go back into a quote later to make changes, the quote will automatically save those changes and will discard the old quote. You cannot save multiple quotes for the same person at this time.

Your access to and use of the Service is conditioned upon your acceptance of and compliance with these Terms. These Terms apply to all visitors, users and others who wish to access or use the Service. By accessing or using the Service you agree to be bound by these Terms. If you disagree with any part of the terms then you do not have permission to access the Service.

Purchases
If you wish to purchase any product or service made available through the Service ("Purchase"), you may be asked to supply certain information relevant to your Purchase including, without limitation, your credit card number, the expiration date of your credit card, your billing address, and your shipping information.

You represent and warrant that: (i) you have the legal right to use any credit card(s) or other payment method(s) in connection with any Purchase; and that (ii) the information you supply to us is true, correct and complete.

The service may employ the use of third party services for the purpose of facilitating payment and the completion of Purchases. By submitting your information, you grant us the right to provide the information to these third parties subject to our Privacy Policy.

We reserve the right to refuse or cancel your order at any time for reasons including but not limited to: product or service availability, errors in the description or price of the product or service, error in your order or other reasons.

Availability, Errors and Inaccuracies
We are constantly updating product and service offerings on the Service. We may experience delays in updating information on the Service and in our advertising on other web sites. The information found on the Service may contain errors or inaccuracies and may not be complete or current. Products or services may be mispriced, described inaccurately, or unavailable on the Service and we cannot guarantee the accuracy or completeness of any information found on the Service.

We therefore reserve the right to change or update information and to correct errors, inaccuracies, or omissions at any time without prior notice.

Subscriptions
Some parts of the Service are billed on a subscription basis ("Subscription(s)"). You will be billed in advance on a recurring and periodic basis ("Billing Cycle"). Billing cycles are set either on a monthly or annual basis, depending on the type of subscription plan you select when purchasing a Subscription.
At the end of each Billing Cycle, your Subscription will automatically renew under the exact same conditions unless you cancel it or EZ Quote LLC cancels it. You may cancel your Subscription renewal either through your online account management page or by contacting EZ Quote LLC customer support team.
A valid payment method, including credit card or PayPal, is required to process the payment for your Subscription. You shall provide EZ Quote LLC with accurate and complete billing information including full name, address, state, zip code, telephone number, and a valid payment method information. By submitting such payment information, you automatically authorize EZ Quote LLC to charge all Subscription fees incurred through your account to any such payment instruments.

Should automatic billing fail to occur for any reason, EZ Quote LLC will issue an electronic invoice indicating that you must proceed manually, within a certain deadline date, with the full payment corresponding to the billing period as indicated on the invoice.

Free Trial
EZ Quote LLC may, at its sole discretion, offer a Subscription with a free trial for a limited period of time ("Free Trial"). You may be required to enter your billing information in order to sign up for the Free Trial. If you do enter your billing information when signing up for the Free Trial, you will not be charged by EZ Quote LLC until the Free Trial has expired. On the last day of the Free Trial period, unless you cancelled your Subscription, you will be automatically charged the applicable Subscription fees for the type of Subscription you have selected.

At any time and without notice, EZ Quote LLC reserves the right to (i) modify the terms and conditions of the Free Trial offer, or (ii) cancel such Free Trial offer.
Fee Changes. EZ Quote LLC, in its sole discretion and at any time, may modify the Subscription fees for the Subscriptions. Any Subscription fee change will become effective at the end of the then-current Billing Cycle. EZ Quote LLC will provide you with a reasonable prior notice of any change in Subscription fees to give you an opportunity to terminate your Subscription before such change becomes effective. Your continued use of the Service after the Subscription fee change comes into effect constitutes your agreement to pay the modified Subscription fee amount.

Refunds
Certain refund requests for Subscriptions may be considered by EZ Quote LLC on a case-by-case basis and granted in sole discretion of EZ Quote LLC.

Accounts
When you create an account with us, you guarantee that you are above the age of 18, and that the information you provide us is accurate, complete, and current at all times. Inaccurate, incomplete, or obsolete information may result in the immediate termination of your account on the Service.
You are responsible for maintaining the confidentiality of your account and password, including but not limited to the restriction of access to your computer and/or account. You agree to accept responsibility for any and all activities or actions that occur under your account and/or password, whether your password is with our Service or a third-party service. You must notify us immediately upon becoming aware of any breach of security or unauthorized use of your account.
You may not use as a username the name of another person or entity or that is not lawfully available for use, a name or trademark that is subject to any rights of another person or entity other than you, without appropriate authorization. You may not use as a username any name that is offensive, vulgar or obscene.
We reserve the right to refuse service, terminate accounts, remove or edit content, or cancel orders in our sole discretion.

Intellectual Property
The Service and its original content, features and functionality are and will remain the exclusive property of EZ Quote LLC and its licensors. The Service is protected by copyright, trademark, and other laws of both the United States and foreign countries. Our trademarks and trade dress may not be used in connection with any product or service without the prior written consent of EZ Quote LLC.

Our Service may contain links to third party web sites or services that are not owned or controlled by EZ Quote LLC.
EZ Quote LLC has no control over, and assumes no responsibility for the content, privacy policies, or practices of any third party web sites or services. We do not warrant the offerings of any of these entities/individuals or their websites.

Termination
We may terminate or suspend your account and bar access to the Service immediately, without prior notice or liability, under our sole discretion, for any reason whatsoever and without limitation, including but not limited to a breach of the Terms.
If you wish to terminate your account, you may simply discontinue using the Service.
All provisions of the Terms which by their nature should survive termination shall survive termination, including, without limitation, ownership provisions, warranty disclaimers, indemnity and limitations of liability.

Indemnification
You agree to defend, indemnify and hold harmless EZ Quote LLC and its licensee and licensors, and their employees, contractors, agents, officers and directors, from and against any and all claims, damages, obligations, losses, liabilities, costs or debt, and expenses (including but not limited to attorney's fees), resulting from or arising out of a) your use and access of the Service, by you or any person using your account and password, or b) a breach of these Terms.

Limitation Of Liability
In no event shall EZ Quote LLC, nor its directors, employees, partners, agents, suppliers, or affiliates, be liable for any indirect, incidental, special, consequential or punitive damages, including without limitation, loss of profits, data, use, goodwill, or other intangible losses, resulting from (i) your access to or use of or inability to access or use the Service; (ii) any conduct or content of any third party on the Service; (iii) any content obtained from the Service; and (iv) unauthorized access, use or alteration of your transmissions or content, whether based on warranty, contract, tort (including negligence) or any other legal theory, whether or not we have been informed of the possibility of such damage, and even if a remedy set forth herein is found to have failed of its essential purpose.

Disclaimer
Your use of the Service is at your sole risk. The Service is provided on an "AS IS" and "AS AVAILABLE" basis. The Service is provided without warranties of any kind, whether express or implied, including, but not limited to, implied warranties of merchantability, fitness for a particular purpose, non-infringement or course of performance.

Exclusions

Governing Law
These Terms shall be governed and construed in accordance with the laws of Michigan, United States, without regard to its conflict of law provisions.
Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights. If any provision of these Terms is held to be invalid or unenforceable by a court, the remaining provisions of these Terms will remain in effect. These Terms constitute the entire agreement between us regarding our Service, and supersede and replace any prior agreements we might have had between us regarding the Service.

Changes
We reserve the right, at our sole discretion, to modify or replace these Terms at any time. If a revision is material we will provide at least 30 days notice prior to any new terms taking effect. What constitutes a material change will be determined at our sole discretion.
